Changes to Staff Login ID’s and how it affects you

If you were employed at your college before January 1st 2017, your network login ID may be different to your current employee ID. If your Employee ID and your login ID are different, your login ID will be changing to your Employee ID number on 5:00PM July 7th 2017.

WHAT IS HAPPENING TO MY EMAIL?

There will be no changes to email services. Continue using Outlook email for all communications. Office 365 has a new temporary Outlook web based application. The temporary Office365 is a restricted mailbox with no external communications. Later, existing Outlook email will move to Office365. Staff that synchronise college email, calendar and contacts to their mobile phone will need to update the login credentials to the new staff ID format.

HOW DO I CHANGE MY PASSWORD?

No change to password reset and self-service tools. Please contact the ICT helpdesk or support services to assist. A new password self-service link will be provided in December 2017.

WORKSTATION MOVES. WHAT DO I NEED TO DO BEFORE MY WORKSTATION MOVES?

Staff workstations will move to a TAFE sector domain between the 28th August 2017 and 8th September 2017. To avoid loss of setting and files, backup any desktop shortcuts, favourites, Email archives, local documents or other locally stored files to a network folder.

WHAT TO DO IN MICROSOFT OFFICE 365?

You will be given a new Office 365 login on July 10th 2017. You will have three months, until September 29th 2017 to copy/move any content from older ex-Institute environment to the new Office 365 using your new login. Your new login ID for Office 365 is firstname.lastname@crtafe.wa.edu.au e.g. John.Smith@crtafe.wa.edu.au, etc.

Staff Login

If you were a staff member employed at your college before January 1st 2017, your network login ID may be different to your current employee ID. If your Employee ID and your network login ID are different, your network login ID will be changing to your Employee ID number on July 7th 2017. Your password will remain the same.

Email Services

Your email service will not change and not be affected by this change. There is no change to email address. Access to shared mailboxes will remain the same. Permissions and visibility to inbox, calendar and contacts will remain unchanged.

Mobile Devices

Staff that synchronise college email, calendar and contacts to their mobile phone will need to update the login credentials to the new staff ID format. Staff will notice a username/password message for exchange credentials sometime after 5:00PM Friday 7th July 2017. Please refer to local ICT instructions to enter your new ID and password, or navigate to the mail settings on your phone to find the exchange account settings.

Office 365

Your new Office 365 service in the new TAFE tenancy will provide all of the services used in the existing college tenancy. However no data will be migrated between them. Staff members that have data in applications such as OneDrive, SharePoint Online, Outlook Online etc. are will be encourage to copy this data to your new account in the new TAFE tenancy.

Office 365 will present a new temporary Outlook application; however it will be a restricted mailbox with no external communications. At a later stage, your college email will migrate to Office365.

All staff can access the new office 365 tenancy at https://login.microsoftonline.com/  Your new login ID for Office 365 is firstname.lastname@crtafe.wa.edu.au e.g. John.Smith@crtafe.wa.edu.au, etc. If you are not automatically signed in to Office 365, click on the “Use other account” tile, and enter in your login and password credentials. Your password is the same as your network/workstation password.

To access the old college Office 365 tenancy, click on the “Use other account” tile and use the ID listed in Appendix A. Your password is the same as your network/workstation password.

Workstation Changes

Staff workstations will be moved to a TAFE sector system between the 28th of August and 8th of September 2017.

During this time, a schedule for migration of workstations will be communicated. Staff will want to ensure they have backed up any data from their local workstation, as they may get a new blank desktop profile or a machine reimage if problems occur.

Applications Access

ICT will be undertaking work to ensure that all applications are capable of using the new network login ID’s with no changes to permissions, security groups or access. This is across the department and local TAFE applications.

 

Frequently Asked Questions:

Q: When will staff find out about their new Login ID?

A: The new employee IDs were made available to all staff in January 2017. Staff can determine their new employee ID from the EmpowerHR system. This will become their new login ID on 5:00PM 7th July 2017

Q: What will occur if I already have a new employee ID as my network login ID?

A: No Change. You will continue to use their existing login and password.

Q: How do I access my new office 365 account?

A: https://login.microsoftonline.com/, click use another account. Your ID will be based on a firstname.lastname@crtafe.wa.edu.au.

Q: If I am having trouble logging in to the network or cannot login to Office365 who should I contact?

A: Contact your local ICT to assist with access.

Q: Will this affect other applications?

A: No. Systems will be modified to accommodate new ID numbers. All staff will use the new ID numbers from Term 3 to access all key systems.

Q: When will I be able to login to any campus workstation with my new network ID?

A: Staff workstations will migrate to the sector domains between 28th August 2017 and 8th September 2017.

Q: Can I access Office 365 anywhere?

A: Yes. Office 365 is an internet based service that can be accessed by most internet connected devices such as smart phone, laptop, tablet and PC
